Front Office Coordinator

Position Title: Front Office Coordinator 

Department: Agency Wide 

Reports to: Assistant Director 


Position Summary 

The Front Office Coordinator (FOC) coordinates the flow of participants through the agency. As the initial point of program contact, the FOC triages the participants to the appropriate services and case managers. 


Program Summary 

Respond Now is located in Chicago Heights and is central in providing health, hunger, and housing services to the 22 communities served. Programs include Food Pantry, SNAP Outreach, Supportive Housing, Housing Counseling, Homelessness Prevention, Coordinated Entry, HUB Services, Prescription Medication, and a variety of other supportive services. The Front Office Coordinator position is key in connecting participants to the appropriate services. 


Principle Duties and Responsibilities:

  • Manage front office operations, including initial greeting, managing immediate needs of clients, tracking flow of traffic through agency, and ensuring proper volunteer coverage. 
  • Perform initial triage utilizing the internal client database. 
  • Guarantee participants sign proper documentation for food pantry assistance. 
  • Implement additional forms and/or surveys as necessary. 
  • Manage food pantry in Sauk Village on Tuesday. 
  • Assist with database needs for programs. 
  • Other duties as assigned. 


Qualifications 

  • High School Diploma 
  • Strong ability to effectively resolve and cope with immediate crisis situations 
  • Strong communication skills, listening, and writing clearly and thoroughly 
  • Proficient in Microsoft Office and comfort with database software and keyboard 
  • Knowledge of community resources available in community 
  • Detail oriented with strong organizational and time management skills 
  • Demonstrated ability to work independently and as part of a team 
  • Strong ability to represent the interests of the agency, interact effectively with a diverse group, build successful collaborative relationships with program participants, other Respond Now staff, and community partners. 


Mandatory Requirements 

  • Valid driver’s license and auto insurance 
  • Reliable transportation
